Role Description

We are looking for an Executive Assistant to join our Business Support team, based full time in our London office. You will support our Executive team, taking day-to-day direction from our Executive Business Partner, while building your experience in a fast-paced executive support environment.

This is an excellent opportunity for someone early in their career, such as a graduate or someone with around one to two years’ relevant experience, who is keen to step into their first Executive Assistant role. You will join an exciting company at a pivotal point in its journey and gain exposure to senior stakeholders while developing strong foundations in executive support.

Key Responsibilities

Executive Support

  • Manage Exec diaries, helping to prioritise meetings, protect focus time and ensure the best use of their schedule, in close coordination with the Executive Business Partner and key internal stakeholders.
  • Maintain well-organised files and documents, ensuring information is stored clearly and professionally and that materials are easy to access when needed.
  • Provide day-to-day administrative support, including processing and tracking the Executive’s business costs, managing correspondence and supporting ad hoc tasks as required.

Travel Management

  • Coordinate travel arrangements, including frequent travel in the UK and international travel as required.
  • Respond promptly to travel changes, including rearranging bookings and liaising with travel providers to ensure plans run smoothly.
  • Provide additional travel support for Board members and senior colleagues when required.
  • Prepare clear and detailed itineraries, coordinating travel, accommodation and logistics for meetings, conferences and external engagements.
  • Maintain accurate travel records to support internal reporting and sustainability tracking.

Office, Events & Team Support

  • Support the smooth running of the office through day-to-day coordination, practical administration and tasks that contribute to a well-organised and welcoming environment.
  • Work alongside the office administration team to support the planning and delivery of internal meetings and company events, including team away days, seasonal celebrations and other staff gatherings.
  • Provide additional administrative support to other members of the executive team when required, helping the wider Business Support team during busy periods and covering priorities as needed.

Skills & Experience

We are looking for someone who can bring the following skills and experience to the role:

  • A customer-focused mindset with a positive approach to work
  • Experience coordinating diaries, travel bookings, meetings or events, whether through work experience, internships or previous roles.
  • Excellent organisational skills, with the ability to manage multiple tasks, stay on top of detail and keep work moving in a fast-paced environment.
  • Strong written and verbal communication skills, with a professional and confident approach when working with senior stakeholders and colleagues across the business.
  • A high level of discretion, sound judgement and the ability to handle confidential information with care and professionalism.
  • Confidence using Microsoft Office, including Outlook, Word, PowerPoint and Excel, and the ability to pick up new systems quickly.
  • Some previous experience in an administrative, team support, customer-facing or professional office environment.
  • An interest in sustainability, climate change and the work Low Carbon is doing to support the transition to renewable energy.
